Information We Collect

Account & Registration Data

When you register, we collect your name, email address, phone number, business name, and billing information. This is required to provide the service.

Business & Project Data

Data you enter into the platform — including projects, purchase orders, invoices, employee records, timesheets, documents, and site visit logs — is stored on your behalf and is your property. We act as a data processor for this information.

Usage & Technical Data

We automatically collect log data including IP addresses, browser type, pages visited, time and date of access, and session duration. This data is used for security, analytics, and platform improvement.

Payment Data

Payment processing is handled by Stripe. We do not store your credit card number or full payment details. We receive and store a payment token, subscription status, and transaction history from Stripe.

How We Use Your Information

  • To provide, operate, and maintain the Project Tracker platform
  • To process subscription payments and manage your account
  • To send billing notifications, payment reminders, and account alerts
  • To respond to support requests and inquiries
  • To improve the platform and develop new features
  • To detect, prevent, and address security incidents and fraud
  • To comply with legal obligations

Data Retention & Deletion

Data Deletion for Non-Payment Accounts with subscription payments overdue by 60 days or more (approximately 2 months) will have all associated data permanently and irreversibly deleted. Please refer to our Terms and Conditions for the full account restriction and deletion timeline.

Requesting Data Deletion

You may request deletion of your account and all associated data at any time by contacting us at support@projecttracker.au. We will action deletion requests within 30 days. Note that billing and tax records may be retained as required by law.

Data Security

We implement industry-standard security measures to protect your data, including:

  • TLS/SSL encryption for all data in transit
  • Encrypted storage for sensitive data at rest
  • Role-based access controls within the platform
  • Secure file storage via Amazon S3
  • Regular security audits and monitoring via our logging infrastructure

Despite these measures, no method of transmission over the internet is 100% secure. We cannot guarantee absolute security, but we commit to notifying affected users promptly in the event of a data breach.

Data Sharing & Third Parties

We do not sell, rent, or trade your personal data. We may share data with third-party service providers who assist us in operating the platform, under strict data processing agreements. These include:

  • Stripe — payment processing
  • Amazon Web Services (AWS) — file and document storage
  • Google Maps — project location and address features
  • Telegram — system alert notifications (admin only)

We may also disclose data where required by law, court order, or regulatory authority.

Cookies

Project Tracker uses cookies to maintain your session, remember preferences, and improve performance. We do not use cookies for advertising purposes. You can disable cookies via your browser settings, but this may affect platform functionality.

Your Rights

Under the Australian Privacy Act 1988 and applicable data protection law, you have the right to:

  • Access — request a copy of the personal data we hold about you
  • Correction — request correction of inaccurate or incomplete data
  • Deletion — request deletion of your personal data (subject to legal retention requirements)
  • Portability — request an export of your data in a machine-readable format
  • Objection — object to certain types of processing of your data

Children's Privacy

Project Tracker is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us immediately and we will remove it promptly.

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by a notice within the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
